How Scholars Home Digitized Fee Collection and Saved 90% Manual Work

Scholars Home Group of Institutions is a well-respected educational institution in Satna, Madhya Pradesh. With multiple branches, hundreds of students, and a growing reputation, they faced a problem common to educational institutions across India: their operations were almost entirely paper-based.

Fee collection was handled through physical receipt books. Attendance was marked in registers. Results were compiled in spreadsheets and printed on pre-formatted papers. Notices were sent through WhatsApp groups that parents may or may not have checked.

The administrative staff was drowning in manual work, and the leadership knew something had to change.

The Challenge

When Scholars Home approached DivineScale, they outlined several interconnected problems:

  • Fee collection chaos: Tracking who had paid, who hadn’t, and generating reminders was a full-time job for two staff members
  • No real-time visibility: The management couldn’t see fee collection status, attendance trends, or academic performance without requesting manually compiled reports

The Solution

Rather than recommending an off-the-shelf school management system — most of which are either too complex, too expensive, or designed for a different type of institution — we built a custom platform tailored to how Scholars Home actually operates.

The platform, which eventually became the foundation for our InstiFlo product, included:

Online Fee Collection: Parents receive fee reminders via SMS and WhatsApp. They can pay online through Razorpay, and the system automatically generates and sends digital receipts. The admin dashboard shows real-time fee collection status across all branches.

Automated Reminders: The system sends gentle reminders to parents with pending fees at configurable intervals. This eliminated the need for uncomfortable phone calls and reduced outstanding fees by over 40% in the first quarter.

Digital Attendance: Teachers mark attendance on their phones. The system automatically flags students with unusual absence patterns and notifies parents. Monthly attendance reports are generated automatically.

Certificate and Marksheet Generation: What used to take a week now takes about 20 minutes. Teachers enter grades, and the system generates properly formatted certificates and marksheets that can be printed or shared digitally.

Notice Broadcasting: Important announcements reach parents through multiple channels — in-app notifications, WhatsApp, and SMS. Read receipts let the admin team know who has seen the notice.

The Results

The impact was immediate and measurable:

Lessons Learned

This project reinforced several principles that now guide every DivineScale engagement:

Start with the workflow, not the technology. We spent the first week simply observing how the staff worked. Understanding their actual processes — including the workarounds and shortcuts they’d developed — was crucial to building something they’d actually use.

Training is as important as building. The best software in the world is useless if the team doesn’t know how to use it. We conducted hands-on training sessions with every staff member and created video guides they could reference later.

Launch in phases, not all at once. We started with fee collection (the biggest pain point), then added attendance, then certificates. This gradual rollout gave the team time to adapt without feeling overwhelmed.

Build for the least technical user. If the oldest teacher on staff can use it without help, you’ve built it right. Every interface decision was made with this principle in mind.
